A major European accountancy firm needed a new invoice processing system. Some of its legacy multi-function printers (MFPs) were not reliable enough or able to meet the demands of the evolution of the firm’s capture requirements.. This was reducing productivity across the organisation. It needed new hardware to solve the problem.
The client was concerned that any new hardware would be incompatible with its existing system. Taking an Organisational Intelligence-led approach, we designed and implemented a new dedicated scanning solution to ensure legacy tech and new hardware worked effectively alongside each other.
We first deployed a proof of concept to test the required feature-set. We ensured the user interface and experience of the new process was identical to the existing system, so users were familiar with the experience and didn’t need additional training. We also suggested and implemented improvements to the existing process flow.
The accountancy firm now has a cohesive capture solution, with the new hardware integrated into its existing scanning systems to deliver a recognised UI experience that is consistent across all elements. What’s more, the client can make changes to the solution itself without relying on external support.
